Four automations for a small team supporting widows.

Tomorrow's Sunrise runs an online community for widows. We automated the admin around it: welcoming new enquiries, drafting the monthly newsletter, following up quiz takers and sending gift box orders to the fulfilment partner, so the team's time goes on its members.

Context

Tomorrow's Sunrise is a subscription community for widows, run on Circle, Webflow and an iOS app by a small founding team. Its co-founder and CEO, Dr. Kayla Nelson, is a clinical psychologist and grief educator.

The problem

Too much of the admin depended on someone remembering to do it. Each newsletter started from a blank page. Quiz takers had to be sent their trial link by hand. And every gift box order had to be passed to the fulfilment partner manually, which is a bad place for a missed order when the customer is buying for someone who is grieving.

Henry has been absolutely wonderful to work with! He helped our team set up multiple automations, including systems for our newsletter, gift boxes, and so much more. Everything he created works incredibly smoothly and has made things so much easier for our team.

What we built

Each automation runs on its own trigger. A website enquiry gets a branded email and text straight away. On the 25th of each month the newsletter drafts itself from the team's content sheet and lands in Kayla's inbox for approval. A finished quiz puts the person in the right Mailchimp group, which sends their 30-day trial link. A paid gift box order is logged and sent to the fulfilment partner with the recipient's address and message.

  1. 01Welcomes every website enquiry by email and text
  2. 02Drafts the monthly newsletter for one-click approval
  3. 03Sends quiz takers their 30-day trial link
  4. 04Passes every paid gift box order to the fulfilment partner

The decision that mattered

The newsletter never sends itself. The team asked for that, because tone matters more than usual when every reader has lost a partner, so the system does the drafting and scheduling and Kayla approves each issue with a single click. The gift boxes needed the opposite guarantee: a retried payment can never make the partner ship the same box twice.
